YourQuoteApp provides software that helps UK bathroom fitters collect quote information, generate quote PDFs, send customer emails and manage survey booking workflows.
2. When this policy applies
This policy explains how YourQuoteApp uses personal information when:
- you visit our website;
- you contact us, book a demo or ask about the product;
- you receive sales or marketing communications from us;
- you create or use a YourQuoteApp account;
- you use our platform as a bathroom fitter or member of a fitter's team;
- you contact support;
- you pay for a subscription through Stripe;
- you interact with our analytics or campaign links.
If you are a homeowner using a quote link from a bathroom fitter, the fitter is normally the organisation deciding why your information is collected and how it is used. In that situation, the fitter is usually the data controller and YourQuoteApp usually acts as their data processor by hosting and operating the software.
3. Information we collect
We may collect and use the following information.
Website, sales and marketing information:
- name, business name, job title and contact details;
- website, social media or public business profile details;
- demo booking information;
- messages, enquiry details and call notes;
- campaign source, link tracking and website analytics data;
- marketing preferences and do-not-contact records.
Account and platform information:
- fitter account details, team member names and email addresses;
- login, security and account activity information;
- business details, logos, service areas, pricing settings, VAT settings and quote configuration;
- support requests, troubleshooting information and account notes.
Billing information:
- billing contact details;
- subscription status, payment history, invoice details and VAT information;
- payment processing records handled by Stripe.
Homeowner quote information processed through the platform:
- homeowner name, contact details and quote answers;
- bathroom measurements, project details and preferences;
- uploaded photos and inspiration images;
- quote PDFs, email notifications and survey booking details;
- payment link and deposit workflow information, where enabled by the fitter.
We may also collect technical information such as IP address, browser type, device information, usage logs and security logs.
4. How we use information
We use personal information to:
- provide and improve the YourQuoteApp service;
- create, manage and secure customer accounts;
- support fitter customers and respond to enquiries;
- process subscriptions, invoices and VAT records;

- understand website usage and campaign performance through Finitum analytics and similar tracking;
- keep sales records in Twenty CRM;
- manage opt-outs and do-not-contact suppression;

- protect our rights, our customers and the platform.
5. Lawful basis
We rely on different lawful bases depending on the situation.
- Contract: to provide the service, manage subscriptions, support customers and process billing.
- Legitimate interests: to run and improve our business, respond to enquiries, keep the platform secure, carry out B2B sales activity and understand product usage, where those interests are not overridden by individual rights.
- Consent: where we ask for consent, such as some marketing communications or non-essential cookies and analytics where required.
- Legal obligation: where we need to keep accounting records, respond to legal requests or comply with applicable law.
Where YourQuoteApp processes homeowner quote information for a fitter customer, we normally process that information on the fitter's documented instructions as their processor.
6. Service messages and marketing messages
Service messages are messages needed for the quote, account, subscription, survey, support or billing process. These may include quote PDFs, survey confirmations, incomplete quote reminders, payment emails and important account notices.
Marketing messages are separate. They may include newsletters, offers, long-term follow-up or promotional content. We will provide opt-out options where required and will honour do-not-contact requests.
Fitters should not use YourQuoteApp to add homeowners to long-term marketing lists unless they have a valid lawful basis and clear consent where required.
7. Who we share information with
We may share information with:
- Stripe for subscription and payment processing;
- hosting and infrastructure providers, including DigitalOcean;
- email, domain, DNS, security and monitoring providers;
- support and productivity tools used to run the business;
- Twenty CRM for sales and customer relationship records;
- Finitum analytics for website analytics and campaign link tracking;
- professional advisers, accountants, insurers or legal advisers;
- regulators or authorities where required by law.
We may also share information with a bathroom fitter where the information relates to their account, quote flow, customers or job process.
We do not sell personal information.
8. International transfers
Some suppliers may process information outside the UK. Where this happens, we apply appropriate safeguards, such as adequacy regulations, approved contractual clauses or equivalent protections.
9. How long we keep information
We keep personal information only for as long as we need it for the relevant purpose, including service delivery, support, legal, accounting, security and dispute handling.
Our working retention approach includes:
- incomplete quote sessions: expire after 7 days;
- uploaded files for unaccepted quotes: available for 30 days unless otherwise agreed;
- active fitter account data: kept while the account is active;
- cancelled account operational data: export offered where practical, then deletion or anonymisation after 30 to 90 days unless we need to keep it longer;
- signed contracts, invoices and billing records: kept for accounting, tax, legal and dispute purposes;
- support records: usually kept for up to 2 years;
- do-not-contact records: kept so we can honour opt-outs;
- backups: data may remain in backups until the backup cycle overwrites it.
We keep our retention approach under review as the product and legal requirements develop.
10. Security
We use technical and organisational measures designed to protect information, including HTTPS, tenant scoping, hashed passwords, restricted admin access, strong password requirements, two-factor authentication, private file storage, signed or temporary file links, backups and limited production access.
No service can guarantee absolute security. If we become aware of a serious security or data issue, we will investigate and take appropriate steps.
11. Your rights
Depending on the situation, you may have rights to:
- access your personal information;
- correct inaccurate information;
- ask for information to be deleted;
- restrict or object to certain processing;
- receive a copy of information in a portable format;
- withdraw consent where processing is based on consent;
- complain to the Information Commissioner's Office.
If you are a homeowner and your information was collected through a fitter's quote link, you may need to contact the fitter first because they are usually the controller of that information. We will help fitter customers respond to valid requests where required.
